Short version: We collect the minimum data needed to run SoftNest. We never sell your data or use it for advertising. The content you upload belongs to you and is only used to provide the service.

1. Who We Are

SoftNest ("we," "us," or "our") operates the SoftNest web application at softnest.care. We are the data controller for information collected through our service.

We do not collect precise geolocation, biometric data, or any data from the person with dementia directly.

3. Sensitive Content

We understand that the content you upload may include images, recordings, and videos of a vulnerable adult living with dementia. We treat this content with the highest level of care. It is encrypted at rest and in transit, never reviewed by employees unless you explicitly request support, and never used for any purpose other than delivering the SoftNest experience to your family.

Uploaded content is associated only with your account. It is not shared with any other user, advertiser, or third party — ever.

4. How We Use Your Data

  • Provide the service — deliver voice messages, music, photos, and videos to the SoftNest app interface.
  • Account management — send important account emails (trial expiry reminders, billing receipts, password resets).
  • Product improvement — use anonymized usage analytics to understand which features help families most.
  • Customer support — respond to your requests and troubleshoot issues when you contact us.
  • Security — detect fraud, abuse, and unauthorized access to our systems.
  • Legal compliance — comply with applicable laws and legal obligations.

5. What We Don't Do

We never sell your personal data to third parties. We do not use your data for advertising. We do not share your uploaded content (voice messages, photos, music, videos) with any third party except the cloud infrastructure providers needed to store and deliver it to you.

  • No sharing with social media platforms
  • No AI training on your personal content

6. Data Storage and Security

Your data is stored on secure cloud infrastructure (Neon PostgreSQL for structured data; Cloudflare R2 for uploaded files). Both services use encryption at rest and in transit.

Access to production data is restricted to authorized personnel only. We use industry-standard security practices including:

  • HTTPS (TLS) for all data in transit
  • Encrypted storage for all uploaded files
  • Password hashing (bcrypt)
  • Parameterized database queries to prevent SQL injection
  • Secure token authentication (JWT with expiry)

No security system is perfect. If you discover a security vulnerability, please email support@softnest.app immediately.

7. Data Retention

We retain your data for as long as your account is active or as needed to provide the service. Specifically:

  • Account data — retained until account deletion, then deleted within 30 days.
  • Uploaded content — retained until you delete it or your account is deleted, then removed within 30 days.
  • Billing records — retained for 7 years as required by financial regulations.
  • Usage analytics — retained in aggregated, anonymized form for up to 2 years.

8. Your Rights

You have the following rights over your personal data:

  • Access — request a copy of the personal data we hold about you.
  • Correction — ask us to correct inaccurate data.
  • Deletion — request deletion of your account and all associated data.
  • Portability — request your uploaded files in their original format.
  • Restriction — ask us to limit how we process your data in certain circumstances.
  • Objection — object to processing based on legitimate interests.

To exercise any of these rights, email us at support@softnest.app. We'll respond within 30 days. Some rights can be exercised directly in your account settings (e.g., deleting uploaded files, deleting your account).

9. Cookies and Analytics

Cookies and Local Storage

SoftNest uses browser local storage and session storage (not traditional cookies) for:

  • Keeping you logged in (auth token)
  • Remembering your session for analytics purposes (anonymous session ID)
  • Storing a visitor ID for aggregate usage analytics

We do not use third-party advertising cookies or tracking pixels. You can clear local storage via your browser settings at any time, which will log you out.

Analytics

We run our own lightweight analytics to understand how the product is used. This collects page views, feature usage, and session data. It is anonymized and never linked to your name or email for advertising purposes. We also use a first-party analytics beacon hosted at polsia.com, which operates under a separate privacy policy.

10. Third-Party Services

All third-party providers are contractually obligated to handle data securely and in compliance with applicable privacy laws.

11. Children's Privacy

SoftNest is designed for caregivers and is not directed at children under 13. We do not knowingly collect personal data from anyone under 13. If you believe a child has provided us with personal data, contact us at support@softnest.app and we will delete it promptly.

Users may upload photos or recordings that include minors (e.g., grandchildren). This content is uploaded by adult caregivers under the terms described above and is subject to the same privacy protections.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we'll update the "Last updated" date at the top of this page. For material changes, we'll send an email notice to registered users at least 7 days before the changes take effect. Continued use of SoftNest after the effective date constitutes acceptance of the updated policy.
